District Staff Bulletin - January 2012
---------------------------------------------------------------

Regional Roundtables: In an effort to provide additional education and increase the opportunities for input from its grass-roots volunteers in the rules and regulation modification process, Little League International has put together a series of regional round tables that will begin in January. A round table will be held in each of the five U.S. regions. All District Administrators and Assistant District Administrators in each of the five regions are invited to attend the two-day event in their region.

2012 ASAP Information: The majority of the 2012 A Safety Awareness Program (ASAP) materials are currently available online at the Little League website. Find the information here:http://www.littleleague.org/Assets/forms_pubs/asap/CoverLetter-2012.pdf http://www.littleleague.org/Assets/forms_pubs/asap/RegistrationForm_SafetyProgram_2012.pdf

  • As league safety officers complete their 2012 ASAP plan, they are reminded that a copy of the plan must be mailed to Little League International (539 Montgomery Pike, South Williamsport, Pa., 17702) along with the 2012 qualified safety program form. Deadlines for submission have been moved up, so check the 2012 ASAP materials for the current dates. Electronic submission of plans will not be accepted.
  • It is recommended that local leagues and districts reconcile and/or audit financial statements at various points throughout the year to limit the possibility of fraudulent activity.
  • Leagues are encouraged to complete first aid and CPR training prior to the start of their regular season.
  • The latest edition of the ASAP Newsletter is available here: http://www.littleleague.org/Assets/newsletters/ASAP/Sept-Oct-Nov2011ASAPNewsletter.pdf

Charter/Insurance Follow Up: Please remind all local leagues that their 2011 Insurance coverage ended on 12/31/11. By submitting the charter application prior to the end of the year, it ensures that the league does not have a break in insurance coverage. It is important to note that without proper insurance coverage, the league and its officials will not be properly covered for any league activities.  Liability and Accident Insurance will not be in force for the 2012 season until the league has chartered and paid their premiums in full.

Accounting Procedures: Please remind all of your leagues about the importance of being diligent in their accounting procedures and incorporating checks and balances to protect themselves from financial problems.

Getting Volunteers and Donations: Volunteers and donations are the backbone of a successful league.  With Active Network's online registration tool, your leagues can recruit volunteers and collect donationsthrough the online registration form.  Now parents can simply check a box to volunteer and/or add an additional donation or other fees to the registration fee. Click here to find out how Active Network, the Official Online League Management Provider of Little League®, can help your leagues.

Selection of Game Sites for Tournament Play: If your district intends to host any Little League International Tournament games above the district level, by Little League Tournament rule, the host league must have an approved A Safety Awareness Program (ASAP) plan. Also remember that ASAP plans must be implemented before the season starts in order to qualify as an approved plan for the current year. More information available here: http://www.littleleague.org/learn/programs/asap/SafetyRequirementsExplained.htm

Field Lighting: In preparation for the 2012 season, District staff is reminded that it is your responsibility to coordinate with your local leagues that have lights at their facilities and play night games, to ensure that the lighting systems meet all of Little League's regulations.
